The Executive Assistant provides high-level administrative support to the company’s CEO, managing scheduling, communications, and partner relations, with an emphasis on sales support. This role requires a highly organized, detail-oriented individual who can manage multiple tasks in a fast-paced environment while maintaining confidentiality and professionalism. The ability to write impeccably, design marketing materials to customize presentations for partners, and to develop detailed reports for the executive team and Board of Directors is critical.

 

 Key Responsibilities: 

  • Support outreach to partners
  • Manage and maintain executives’ schedules, appointments, and travel arrangements as needed.
  • Arrange and coordinate meetings and events.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Design and maintain databases.
  • File and retrieve documents and reference materials.
  • Conduct research, and collect and analyze data to prepare reports and documents.
  • Liaise with internal staff at all levels.
  • Interact with external clients and stakeholders.
  • Coordinate project-based work.
  • Review operating practices and implement improvements where necessary to increase speed and efficiency.
  • General administrative tasks (expense reports, conference registrations, etc.)

 

 Qualifications: 

  • Bachelor’s degree required (Dual majors in English and Graphic Design highly desirable)
  • Teaching experience highly desirable
  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or in other project management positions.
  • Project management training or willingness to acquire a project management certification.
  • Excellent knowledge of Google Worksite, various generative AI tools, and Adobe design products.
  • Proficiency in English; additional languages are a plus, particularly Spanish.

  • Ability to multitask and prioritize daily workload
  • High-level verbal and written communication skills
  • Discretion and confidentiality
